The Customer Need
New features for contract management. | The client has been using their contract management system since 2015—mainly to review and approve contracts of up to 200 pages, handle terminations, and archive documents. But the tool wasn’t built for drafting contracts. Over time, the need arose to include this functionality. To reduce the heavy manual workload and long processing times, they were also looking for broader optimization. Eventually, the goal became clear: semi-automate contract creation and management and build a matching digital workflow.
Challenges & Extra Miles
Like herding ants. | Managing complex, non-standardized contracts is still a painstaking and error-prone job—even with digital tools. Multiple experts working on the same document, while clients throw in their input mid-process, doesn’t exactly simplify things. Then, the final contract goes to an executive board meeting for sign-off. Multiply that by around 2,000 contracts per year, and it starts to feel like herding ants.
Technical Solution
The contract management system is based on SharePoint Online and designed for use within a dedicated Site Collection. We implemented SPFx (SharePoint Framework Extensions) to adjust functionality—custom web parts and forms integrated into the collection. Deployment was managed via the Site Collection App Catalog, keeping things straightforward while enhancing security.
Hosting: To enable more complex, customer-specific features, the system uses a custom web service hosted on Azure Web Apps—offering flexibility and scalability.
Automation: For data processing within the Site Collection, we rely on Azure Web Jobs. These automate recurring tasks, removing the need for manual input.

In this case, the client’s Microsoft Office 365 infrastructure made it easy to integrate SharePoint as the tool for editing and storing contracts. The advantages? Built-in version control for security, document IDs, and notifications when it’s time to take action on a file.
